Terms and Conditions

All rentals are subject to the full terms and conditions contained on the Rental Agreement.

Rates

Rates and availability are subject to change without notice. Rates featured are for guidance only, your rental rate will be confirmed and guaranteed at time of reservation. Unless otherwise stated, rates include; unlimited mileage, third party liability insurance, collision damage waiver (CDW), theft protection (TP) and local tax (VAT).

Rental Period

Rental days are based on 24 hour periods starting at the time the vehicle is collected. If you need to extend your rental you must obtain authorisation from the rental location before the agreed expiry date. Additional days will be charged to the original agreed rental rate.

Late returns will be subject to an additional charge. Up to 3 hours is charged on an hourly basis (1/3 of the original rental price = hourly rate). Anything over 3 hours is charged at a full extra day. The minimum charge for rentals over a weekend is 3 days. Vehicles must be returned within branch opening hours. Cambridge Car and Van Rental do not provide out of hours drop off facilities, and therefore any returns where the keys are put through the letter box will void the insurance for the rented vehicle.

Vehicle Types

The models illustrated represent the main models available and are shown for guidance only. Vehicle makes and models may vary and Cambridge Car and Van Rental reserves the right to substitute an alternative similar or larger model when the vehicle reserved is not available.

Driver

Only the drivers approved by Cambridge Car and Van Rental are permitted to drive the vehicle. A supplement may apply for additional drivers. The minimum age and maximum age for drivers is shown in the following table. Cambridge Car and Van Rental hire selected vehicles to 21 and 22 year olds where a surcharge applies (conditions apply). Please note: - All vehicles have an Insurance Excess. In most cases this can be reduced by paying our Excess Reduction (EXR) charge. This is subject to the driver's age and vehicle type. Excess Reduction does not apply for People Carriers, Minibus's and BMW / Mercedes and the full excess may be taken at time of rental.

A full valid driving licence must have been held for at least 12 months (24 months if driver under 23 years of age) at time of rental and must be presented at time of rental. Photocopied or faxed licenses will not be accepted. An international licence will be required for drivers from non-EEC or non-English speaking countries. Driving licences should be in "Roman Script" (i.e. not Arabic or Greek alphabet etc) Licences which are in "Roman Script", must be accompanied by a international Driving Permit issued outside the UK.

The new UK licences are made up of two parts, the counterpart and ID card. Both parts much be produced at time of rental.

European Union Licences are vaild in the UK, up to expiry date.

Foreign Licences are valid for up to 12 months from the date of entry into the UK. After that period a British Licence Must be applied for.

International Driving Permits are vaild for 12 months.

International Driving Permits Issued in the UK are not vaild.

The driver must be licensed to drive the vehicle hired, with particular regard to people carriers and minibuses (UK licence group D or D1). Drivers with Automatic only licences cannot drive vehicles with manual transmission.
Any endorsements, motoring offences or restrictions (medical or otherwise) should be declared at the time of reservation as this may affect your booking.

Loss or Damage to vehicle

Where rates include third party liability insurance, CDW and TP the liability of the renter for loss or damage to the vehicle is limited to an excess (deductible). Optional Excess Reduction (EXR) to reduce this liability further may be offered (subject to rental conditions) and may be taken at time of rental.

Driving Restrictions

Vehicles should be returned to the renting location. Vehicles must not be taken outside mainland England, Scotland and Wales unless agreed with Cambridge Car and Van Rental beforehand and the relevant documentation required issued to the renter/driver. You must inform Cambridge Car and Van Rental at the time of reservation if you intend to drive out of the country of vehicle rental.

Cancellations / No Shows

Cambridge Car and Van Rental reserves the right to charge 100% of the reservation as a cancellation fee for late cancellations or no shows. Late cancellations are within 24 hours of the hire start time agreed at the time of the reservation. Cambridge Car and Van Rental reserve the right to increase the cancellation time period at the time of the reservation with notice.

Bank Holidays (England), Christmas and Easter rentals have a minimum 48 hour cancelation period. Any cancellations within 48 hours of the agreed rental start time (at the time of the reservation) will be charged a cancellation charge.

Payment

Full payment must be made at the Cambridge Car and Van Rental location in Sterling. Cambridge Car and Van Rental except payment by Credit or Debit card. Visa Electron, American Express and Diner Cards are not accepted.

On collection of your vehicle

A credit card/debit card will be required at the start of all rentals for security purposes. The credit card will be imprinted and any additional charges due will be charged to it. As well as your driving licence and credit card you must also show identification giving proof of address (such as a recent bank or credit card statement or utility bill). Non UK residents must also show their passport.

A photograph of the driver will also be taken at the time of rental.

Fuel

Cambridge Car and Van Rental run a Full to Full fuel policy. If the vehicle is received with less than a full tank, then this must be marked on the damage check sheet by a member of staff before the vehicle has been driven. The vehicle must then be returned with the same amount of fuel as received.

If the vehicle is returned with less fuel, as stated on the damage check sheet, we charge a £4.75 + VAT refuelling charge plus per litre prices. These prices are advertised in our office. Per litre prices and the refuelling fee are subject to change without notice.

If a vehicle is returned with more fuel than it was received, Cambridge Car and Van Rental are unable to give a refund for this.

No Smoking Policy

Cambridge Car and Van Rental run a No Smoking policy on all rental vehicles and reserve the right to charge a £50 valeting fee on return of the vehicle if the hirer has smoked or allowed smoking within the vehicle.

Tax

Cambridge Car and Van Rental reserves the right to change rates without prior notice should the local rate of tax alter.

Discounts

On line discounts can not be used in conjunction with any other offers or promotions, discount is given on the basic rental rate only not including CDW, Vat , RRFR or additional options.
